Privacy Statement and Personal Information Collection Statement of the Agency for Volunteer Service

The Agency for Volunteer Service (AVS) is committed to complying with the Personal Data (Privacy) Ordinance (PDPO) requirements, ensuring that the personal data stored is fully protected, accurate and securely managed. Please read this statement carefully to understand how we handle your personal data.

Purpose of Data Collection and Usage Guidelines

  1. AVS uses personal data strictly for the stated collection purposes.
  2. Provision of personal data to AVS is entirely voluntary. If you fail to provide sufficient personal data, AVS may be unable to process your application or provide the relevant services.
  3. When collecting personal data from minors under the age of 18, AVS shall obtain the consent of the minor’s guardian.

AVS generally collects personal data for:

  1. Processing applications (communications, receipts, training, recognition, volunteer insurance, feedback collection), membership or volunteer Registration, and other related matters;
  2. Research, analysis, and statistics for the purpose of improving the AVS’s services and activity planning;
  3. Given that volunteer services may be organised by parties other than the AVS, your contact information may need to be disclosed and transferred to relevant service organisations or AVS coordinators (including volunteers) for service related communication;
  4. Sharing agency information or fundraising promotion.

If you do not agree to the data use and transfer arrangements set out in 1-3 above, you will not be able to participate in any AVS volunteer services.

Online Collection

Our website may automatically collect visitor’s IP addresses, browsing records and website usage information through cookies and similar technologies. This is used solely to improve website functionality, analyse website usage, and enhance service quality. We may engage third-party service providers for website analytics and technical support and may disclose relevant information to them where necessary. You may disable cookies via your browser settings but some website functions may be affected.

Retention of Personal Data

AVS will retain your personal data only for as long as is necessary to fulfil the purposes for which the data was collected. When the data is no longer required for the original purposes of collection, we will securely delete it.

Rights of Access to and Correction of Personal Data

Subject to the exemptions provided under the PDPO, you have the right to request access to and correction of your personal data held by AVS. For access to personal data, you must use the Form prescribed by the Office of the Privacy Commissioner for Personal Data. The guardian of a minor under the age of 18 may make a data access request on his/her behalf. We do not charge any fee for processing a data access request. If copies of personal data are required, a fee of HK$1 per page will be charged.
